Manage access and permissions for users

Set and configure users roles and the permissions related to them

Users Management is the Playboard's management tool offering an easy and intuitive interface that allows administrator users to set and configure users' roles and the permissions with them for the different Playboard features and tools. However, creating users is still the organization's responsibility.

There are three main levels of user permissions to assign to a feature or tool:

  • write: permission to access and perform actions.
  • read: permission to access but not to perform any actions.
  • none: without permission to access or perform any actions. The feauture or tool is not shown to the user.

Permissions for each feature and tool are assigned to different user roles that have already been established for different personas. Organizations may decide to create additional user roles as required and assign feature and tool permissions to that role accordingly. For example, if you are an analyst, you may have full access to features that provide data analysis, such as Insights and Explain, but no access to Play tools.

Users Management tool allows you to assign role permissions directly to one Playboard's user. As users can be part of a group, roles can be assigned to groups or independent users.

Access to each Playboard feature or tool is determined separately for each instance. Your organization decides the roles and permissions assigned to each user per instance.

Getting started with the Users Management tool

To access the Users Management tool, click the arrow on the right of your instance logo in the top left corner. Select the Users Management option from the dropdown menu to be redirected to the configuration list. Alternatively, you can also access the Users Management tool by clicking the users icon on the top right corner from the instances panel.

When you access the Users Management tool, you can visualize the list of the existing user role configurations.

In the header (A), use the search box and filters to find the configuration you need. You can search by user and filter the results by role. To invite new users to the Playboard and assign roles to them, select the + Invite user button. To edit or delete one user's configuration, use the corresponding options available under the three-dot icon. Alternatively, click a user's row to open the user's configuration pop-up and access the Edit user window for modifications.

The Users Management configuration list (B) displays the following details:

  • User: user's name and email address.
  • Instances: instances the user has a role assigned to and permissions granted.
  • Roles: the roles the user has assigned. Each role shows the number of instances this role has been assigned to. See the Understanding the Playboard roles to check the level of permissions that each role gives for the Playboard features and tools.

You can select the number of configurations to be displayed in the list with the row selector (C) and navigate to other pages in the configuration list using the page navigation options (D).

Understanding the Playboard roles

You can see in the following table the default roles that can be assigned to users and the level of permissions these roles give for the different features and tools of the Playboard:

These roles are the ones configured by default. In case you need a certain role with specific permissions, please contact your Key Account Manager to make the necessary changes.

Inviting users to the Playboard

To invite a new user to have access and role permissions granted for one or several Playboard instances, click the + Invite user button from the Users Management configuration list screen. The Invite user screen pops up.

  1. Add the email addresses of the users you want to invite to the Playboard in the details (A) section. Type as many email addresses as you want separated by commas and press Enter to add them to the configuration.
  2. Click the + Assign role button to unfold the dropdown in the Roles (B) section.
  3. Select the roles you want to assign to users from the unfolded list.
  4. Click Asign. The Instances pane (C) displays.
  5. Select the instance for which the role permissions are assigned.

    You can select only one instance from the list or select them all by clicking the checkbox on the right. If you want to assign a different instance for the same role, click the + button and repeat steps 3 to 5.

  6. Click Invite to save the users management configuration. An invite email is then sent to users to join the Empathy Platform Playboard family.

Visualizing user's roles and instances permissions

You can click one user's row to display the information about their roles. A pop-up displays the list of the roles and the instances assigned to them. Swipe to the right and left to check all the instances configured for a role.

If you want to edit the user, click the Edit user button to go to the configuration list.
